Job Description

Under the guidance of the Head of the OCIO, you will join the IT team as a supporting analyst operating across the range of responsibilities in the OCIO, recognising that the OCIO is a newly formed and evolving function. These responsibilities span support activities with IT strategy, risk and governance, portfolio management, budget management, talent management and communications. Over time, this may introduce opportunities to specialise in some of these.

Responsibilities;

  • Assist the Head of the OCIO with IT strategy work as follows:
    • Maintain strategy artefacts (strategy, roadmap, progress against these, budget consumed, transformation progress towards new IT TOM)
    • Manage IT Leadership calendar on reviews or submissions against the above
    • Producing the Divisional IT Reporting and Dashboard
    • Assist the Risk & Governance analyst as follows:
    • Build and upkeep of the balanced scorecard for risk and governance reporting
    • Analyse potential data sources for metrics that could provide opportunities for the BSC
    • Liaise with BSC submitters and coordinate their submissions in time for BSC update events
    • Track agreed risk action owners' action plans
    • Analyse ITIL problem management items to determine if they need to be managed as risks
    • Preparing external governance feeds and reports (to BDA, TDA, PRB, etc)
  • Assist the IT portfolio manager as follows:
    • Work with IT project allocated resources to ensure on-time reporting and format consistency of submissions to the OCIO
    • Preparing reporting of the IT portfolio and communicating project status and issues
    • Applying a consistent and ongoing approach to planning, forecasting, estimating, managing uncertainty, metrics and measurements, contingency planning and creating a road map
    • Track and ensure that agreed risk, issue and dependency-based actions are carried out
    • Support in setting up and applying PMO processes for IT projects (including support training and development specific to program delivery process
  • Assist with IT budget management as follows:
    • Support with the production of budgeting submissions/reports and feeding in of spend information from the budget assignees
    • Track payments of invoices and own invoice query and resolution process
    • Assist with reconciliation queries as first point of contact
  • Assist with IT Talent management as follows:
    • Maintain talent management strategy and IT headcount artefacts
    • Track use of headcount and T&D budgets allocated
    • Execute onboarding process for new IT resources
    • Support the Resource Manager in building the process, systems and reporting for 'resource management' (e.g. Excel, timesheets, PeopleSoft etc.)

Experience;

  • Good knowledge of IT processes and working within an IT team
  • Excellent proficiency in use of the MS Office suite, particularly Excel, PowerPoint, SharePoint, Teams and Word - for the purposes of pulling together reports and artefacts
  • Ability to build strong professional relationships at all levels, excellent stakeholder management skills
  • Excellent verbal, written communication, and presentation skills, being able to explain complex items in a simple yet articulate manner
  • Ability to understand and interpret financial data
  • Attention to detail with good analytical, problem-solving critical thinking, planning and execution skills
  • Ability to work under pressure as well as result orientated
  • Able to demonstrate effective written and oral communication skills
  • A self-starter/motivator having a proactive, agile and strategic mindset
  • A flexible approach is essential and the ability to prioritise effectively as work volumes will fluctuate
  • Able to embrace and adapt to change while demonstrating flexibility and the ability to develop
